Introduction
ZoneScout ("we," "our," or "us") is operated by NLV Media Labs Inc., a corporation incorporated in British Columbia, Canada, which is responsible for the personal information collected through the Service. This Privacy Policy explains how we collect, use, disclose, and protect information about you when you use our platform at zonescout.ca (the "Service").
This policy explains our information practices. Newsletter permission is optional and requested separately from account creation and acceptance of our terms.
Information We Collect
Account Information. We collect your email address and any name or profile photo you provide to authenticate you, manage your account and provide account-related support. If you choose to subscribe, we also use your email for ZoneScout updates.
Usage and Attribution Data. We record searches, pages viewed, timestamps, interactions and referral or campaign information. A persistent browser identifier and first-visit attribution stored in your browser can link visits over time. Searches and events can also be linked to an account identifier or email when you are signed in, and may include approximate location derived from IP information. We use this information to understand service usage, evaluate outreach and protect against excessive requests.
Support and Forms. If you contact us or submit a support, beta or service-issue form, we collect the name, email, role, organization, property details and message you choose to provide. We use these to respond, investigate issues and manage your request. Submitting a form does not itself subscribe you to a newsletter.
Log Data. Our servers automatically record standard log information when you access the Service, including your IP address, browser type, pages viewed, and timestamps.
Search Content. The addresses and queries you submit to ZoneScout are processed to generate your zoning reports. Search addresses, report results and saved research may be retained in service and analytics records. Some records are linked to browser or account identifiers. Aggregate statistics do not make the underlying identifiable records anonymous.
How We Use Your Information
We use collected information to:
- Authenticate and manage your account
- Protect the Service against excessive automated requests
- Provide, maintain, and improve the Service
- Send transactional emails (e.g., account confirmation, password resets)
- Send optional newsletter updates when you have opted in
- Respond to support inquiries
- Comply with legal obligations under British Columbia and Canadian law
We do not sell your personal information to third parties.
Newsletter & Email Preferences
Creating an account or signing in does not subscribe you to a newsletter. We may invite you to choose whether to receive updates when you are signed in, including when an existing user next signs in. Choosing “Yes, email me updates” gives us permission to send marketing emails about new cities, features and occasional offers. Choosing “No thanks,” closing the invitation or not responding leaves newsletters off. Declining does not restrict your access to the Service, and we do not repeatedly show the automatic invitation once your choice or its display has been recorded.
We store newsletter preferences separately from authentication records in our service database. We record your email and account identifier, whether the invitation has been shown, whether you have opted in, declined or unsubscribed, and the dates of those actions. For an opt-in, we also record the consent wording and version, where the choice was made, and the sender contact information shown to you. An account record, a previous email or silence is not treated as express newsletter consent.
You can change your newsletter choice in Settings, use the unsubscribe option in an update email, or email hello@zonescout.ca. We act on unsubscribe requests without delay and no later than ten business days. Unsubscribing does not close your account or prevent necessary account and security messages. We keep limited consent and suppression records to document your preferences and prevent unwanted re-subscription.
Existing users without a recorded newsletter opt-in are excluded from newsletters unless they make an affirmative choice. We may send a request to confirm newsletter permission only where we already have a lawful basis to send that message; no response does not grant permission.
Newsletter delivery uses Zoho Mail. Our newsletter sender does not add email-open tracking pixels. Separate business outreach may use tracking images that record opens, IP address and browser information; website links can also record visits and referral information.
Paid Plans and Payments
If you purchase a paid plan, Stripe processes your payment information under its Privacy Policy. We use billing contact details, customer and subscription identifiers, payment status and transaction records to manage your billing relationship and meet applicable recordkeeping obligations. Purchasing a plan does not itself give express newsletter consent.
Data Sharing & Disclosure
We do not sell or rent your personal information. We may share your data in the following limited circumstances:
- Service Providers. Providers used for authentication, hosting, storage, analytics, report processing and email delivery may process information needed for those functions. These include Firebase/Google, Base44, Vercel, database services, Formspree for submitted forms, Zoho Mail, and Stripe when paid plans are offered. Report services may use AI providers to process submitted queries and relevant property information. Map and routing services may receive property locations and connection information when their content is requested.
- Legal Requirements. If required by law or a valid government request, we may disclose information as necessary.
- Business Transfers. In connection with a merger, acquisition, or sale of assets, your data may be transferred as part of that transaction.
Processing Locations
Service providers may process information outside British Columbia or Canada, where it may be subject to local laws and lawful government access. Contact hello@zonescout.ca with questions about a provider or processing location.
Data Retention
Account, research, analytics and support records may be retained while needed for the purposes described here, legal obligations or resolving disputes. Retention and removal can involve manual steps and different periods for different records. Personal information is removed or de-identified when it is no longer needed for its stated purpose or a justified legal or business requirement. Limited consent and unsubscribe suppression records may be retained to document preferences and prevent further marketing. Records subject to a legal retention requirement, including relevant transaction or decision records, may need to be kept after account closure.
Account Closure and Removal Requests
You can use Settings to close your account or contact hello@zonescout.ca to request account closure and removal of associated personal information. Closing your sign-in account may be the first step; removal of other records can require manual follow-up. Please contact us if you want remaining records reviewed for removal.
Our removal process covers personal information associated with you in authentication and account records, saved research, identifiable searches and analytics, lead records, email contact lists and queues, support and form submissions, and records held by service providers on our behalf. We verify your identity as needed and use reliable account, email or other links to identify your records. We remove or de-identify information that no longer needs to be retained and explain any retention exceptions.
An account closure and removal request also stops newsletter marketing to that account email. We retain only the limited consent or suppression evidence needed to respect your choice and any other records with a justified retention requirement. You can subscribe again later through a new affirmative choice.
Backup copies may remain until the applicable backup retention cycle ends. They are restricted from ordinary use, and removal and suppression requests must be reapplied if a backup is restored. Information stored in your browser or on another device may need to be cleared on that device; deleting an account does not remotely erase every downloaded report or browser copy.
Cookies & Browser Storage
Authentication and preferences use browser storage and may use cookies. Local storage also holds a persistent visitor identifier and first-visit referral information for usage and outreach attribution. This is tracking even where no advertising cookie is used. Clearing browser storage can reset these identifiers, but does not erase server-side records. Blocking cookies or storage may affect sign-in and other features.
Privacy Requests
Applicable privacy laws, including BC’s Personal Information Protection Act and federal privacy law where applicable, provide rights subject to their conditions and exceptions. You may contact us to:
- Access the personal information we hold about you
- Correct inaccurate personal information
- Request removal of personal information and an explanation of retention exceptions
- Withdraw consent (where processing is consent-based)

Data Security
The hosted service uses encrypted connections and authentication for protected account functions. Security depends on the systems and providers involved, and no method of storage or transmission is completely secure. Contact hello@zonescout.ca to report a suspected privacy or security issue.
Children's Privacy
The Service is not directed at individuals under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that we have done so, we will delete that data promptly.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Last updated" date. A policy update does not itself provide consent to a new purpose that requires separate consent.
